How We Handle Your Information
This policy applies to realtorhive.ai and the Realtor Hive AI services. It covers website visitors, prospects, account users, customer personnel, and people whose information appears in connected real estate systems. Third-party websites and integrations have their own privacy notices.
- Information We Collect We collect information you submit directly - name, email, company, and inquiry content. We collect technical data automatically through server logs and cookies - IP address, browser type, pages visited, and session duration. We also process data from connected real estate systems (MLS, CRM, transaction, commercial, mortgage) at our customers' direction. We do not collect sensitive personal information beyond what customers configure for their own workflows.
- How We Use Information Information is used to operate realtorhive.ai, respond to inquiries and support requests, deliver workflow automation and reporting services, maintain platform security, and meet applicable legal obligations. Service communications (account notices, security alerts) differ from marketing. You may opt out of marketing communications at any time using the unsubscribe link in any message or by contacting us directly.
- AI Processing and Human Oversight Customer data processed through Realtor Hive AI is used solely to deliver the contracted service. We do not use customer prompts, outputs, or feedback to train foundational AI models or for general product improvement beyond the contracted scope. Where third-party AI model providers access data, contractual controls govern their use and prohibit training on customer content. Human oversight is incorporated into workflows that produce consequential automated outputs.
- Disclosure and Third-Party Access We disclose information to verified infrastructure vendors, professional advisers, and approved integration partners only as necessary to deliver our services. We do not sell personal information. We do not share personal information for targeted advertising. We may disclose information when required by applicable law, valid legal process, or in connection with a corporate transaction, in each case subject to applicable legal requirements and, where permitted, prior notice.
- Retention and Security Inquiry and contact records are retained as long as needed to fulfill the purpose and for a reasonable period for legal and business purposes. Connected-system data is retained only for the duration of the active integration and removed following account closure or integration revocation. Backup systems may retain data for a limited additional period subject to our deletion schedule. We apply access controls, encryption in transit, vendor security requirements, and internal data-handling policies. No security method can guarantee that information is free from unauthorized access.
